Correction and reversal

A processed purchase document isn't deleted, it's reversed. The reversed document stays as a record with status Reversed, and its effect on stock and the vendor's balance is undone.

Reversing a document

  1. Open the document and click Reverse.
  2. Before you confirm, the app shows every document that will be reversed. Documents made from the selected one are reversed together with it. For example, reversing a receipt also reverses the invoice made from it.
  3. Choose how: Mark reversed, Return in draft or Delete.
  4. Confirm.

Your choice applies only to the document you're reversing. Every other document in the chain is always marked reversed, so the trail is kept. That's why Delete is only possible when no other document is involved.

A document made from an order can't be returned to draft. Reverse it and make it again from the order.

Reversed quantities go back to the document they were made from, for example the order, and can be received or invoiced again.

When reversal is blocked

The app refuses the reversal and says why when:

  • the receipt's goods have already been drawn from, for example sold on a shipment – reverse the document that used them first;
  • the receipt's stock has already been invoiced on an invoice the reversal doesn't cover – reverse that invoice first;
  • the invoice is linked to a bank statement line – correct that line or reverse the statement first;
  • the document was sent to e-Faktura and isn't canceled there;
  • the document is already reversed;
  • the document is Draft or Approved – it hasn't posted anything yet, so it's canceled, not reversed;
  • the document is Posted – the posting journal is reversed in the general ledger first.

Reversal also works before a document is closed: a receipt Waiting for delivery or Delivered without an invoice, and an invoice Processed or Processed(Waiting for delivery). That way no receipt or shipment stays stuck.
